Rules

  1. Any entity, public or private-sector company, foreign or domestic whose activities may be included in the agricultural or food industries and related activities can participate as an exhibitor.
  2. Petitions to participate should be formalized through the contract attached to this set of Regulations, and through the payment of values and forms herein expressed. Payments should be made with checks, money orders or wire transfers on behalf of the organizers. The definitive acceptance of the request is reserved to the organizers, who may reject these requests if they do not conform to the exposition’s purposes.

    In case the payments are not cancelled on the established date, the requesting party will lose his/her rights over the reserved or granted space, without the reimbursement of the previously cancelled installments. If because of an unavoidable circumstance, the requesting party finds him/herself unable to use the hired space, he/she should notify the case in writing to the organizers, who will try to rent it to another party. In this case, 75% of the installment funds will be reimbursed, and the remaining 25% will be used to cover the administrative costs of the contract. If the space fails to be rented to another party, the organizers will keep the totality of the installment funds, reserving the right to occupy the space for their own purposes, in order not to damage the image of the exhibit.
  3. The requesting party may choose and reserve the desired space, according to availability, in accordance to the layout of the exhibit. The organizers will confirm in the rent contract whether the requested space had been rented beforehand to a previous party, doing everything possible to maintain the characteristics of the space requested in the first place.
  4. The organizers reserve the right to modify the layout of the exhibit due to technical causes, in case of which the exhibitors can be relocated in the same circumstances.
  5. Interested parties can rent space according to their needs, consisting of one or more adjoining modules measuring 3 meters in width and 3 meters in depth, according to their distribution in the exhibit’s layout, in accordance with the Participation Options.
  6. The rent contract covers a total of 6 days: two for installation and opening, three for exhibits to the public, and one day for dismantling. This includes the general lighting of the venue, air conditioning (during the periods of opening to the public and visitors), surveillance and 24-hour security throughout the entire event, cleaning services, the publishing of the company’s information in the exhibit’s Catalogue-Directory, the promotion of qualified visitors and public’s participation through advertising in massive and selective media before and after the exhibit, as well as personal invitations to the exhibitor’s clients and memorabilia for the stand’s personnel and the option to offer technical presentations during the programmed conferences of the fair.
  7. The organizers will turn over, on the dates and times established below, the space rented by the exhibitor, providing that he/she is issued a certificate of financial clearance (“PAZ Y SALVO”):
    1. For Installation:
      Wednesday, October 22, from 8:30 a.m. to 4:30 p.m.
      Thursday, October 23, from 8:30 a.m. to 4:00 p.m.
    2. For Exhibit:
      Thursday, October 23 ( opening), from 7:00 p.m. to 10:00 p.m.
      From Friday the 24, to Sunday the 26 of October, from 1:00 p.m. to 9:00 p.m.
    3. Dismantling works:
      Monday, October 27, from 8:30 a.m. to 4:30 p.m.
  8. The exhibitor agrees not to install fixed objects that could result in damages to the walls, floors or facilities of the exhibit venues, and agrees not to hammer or apply adhesive materials directly on the walls or carpets of the stand issued by the organizers.
  9. The exhibitor will deliver the organizers a list of all the valuable items the exhibitor will bring to the exhibit site, and the name of the person(s) authorized to remove them.
  10. The organizers will provide a surveillance and preventive security system 24 hours a day during the period covered by the rent contract. However, they are not responsible for losses or damages that could occur on the property of the exhibitors. They are also not responsible for personal accidents suffered by contractors, employees or guests of the exhibitor on the site of the exhibit.
  11. The exhibit’s items and/or the stand’s ornaments and signs, should be strictly maintained within the measurements of the assigned space, in order not to block aisles or the neighboring space. In case this regulation is violated, the organizers have the right to remove said items, ornaments and signs, regardless of any responsible party questioning this action, and impose a fine on the violating party with a sum equal to the amount of additional space occupied, multiplied by the square meter value of the space rented by the exhibitor, in the case it is impossible to remove the items involved in the violation, or if after the first warning, said items remain in the same location.
  12. The organizers reserve the right to disagree with or ban the presence, use or functioning of substances, gadgets or devices that, in its own judgment, may involve any risk to security or affects the well-being of the exhibitors and visitors, such as annoying noises, foul odors, etc.
  13. The exhibitor agrees not to carry out musical performances throughout the duration of the exhibit, except on the opening day: Thursday, October 23, 2008.
  14. The exhibitor is obliged to respect the fire safety regulations established by Atlapa Convention Center.
  15. Although the organizers will purchase a civil liability insurance policy against accidental damage and injury caused to the exhibitors or their facilities within Atlapa Convention Center, as well as to third parties, including the exhibit’s visitors, this fact does not exempt the exhibitors from responsibility in cases of proven negligence or violation to this set of regulations or to the fire prevention stipulations of Atlapa Convention Center, which are herein attached.
  16. The exhibitor, his/her contractors, employees or representatives assigned to work at the stand, are obliged to bear an official identification badge to have free Access to the exhibit venue and during their time at the stand. For this purpose, the organizers will supply the exhibitors said badge in amounts of 5 for the first nine square-meter module, and tree for each additional module occupied by the exhibitor.
    In cases in which the falsification or unauthorized use of said badges by the exhibitor and his/her personnel is proven, the organizers have the right to bar the access of the violators to the exhibit’s venue and impose a fine on the exhibitor.
  17. The exhibitor, his/her contractors, employees or representatives assigned to work at the stand, are not allowed to introduce into the exhibit’s venue any food or drink intended for their personal consumption during the exhibit periods, with the exception of beverages or snacks offered to visitors as an attraction of the stand.
  18. The distribution of samples, brochures and memorabilia to the visiting public or the exhibitors, is allowed only within the Stand Exhibit area. In the case of violations to this regulation, the organizers are entitled to expel from the venue those who are caught distributing said materials.
  19. The exhibitor is obliged to finalize the installation of his/her exhibit by 4:00 p.m. of Thursday, October 23 at the latest, and remove it from the facilities of Atlapa Convention Center by 4:30 p.m. of Monday, October 27, 2008. Atlapa Convention Center and the organizers reserve the right to remove and store all effects remaining at the premises at the expense, cost and risk of the Exhibitor, without any consideration to the questioning of said measure by the responsible party, after the deadline established by the Organizers to dismantle the exhibit.
  20. During the days of the exhibit, only items bearing an individual permit for each case, requested beforehand in writing to the organizers, are allowed to enter or exit the premises.
  21. Exhibitors who require facilities or installations not contemplated in the participation contract, such as electric power, telephone lines, simple furniture and ornamental plants, should request them from the organizers as soon as possible. The organizers will do everything possible to satisfy such requirements, clearly specifying the costs incurred with these requests. Atlapa Convention Center reserves the right to supply, in an exclusive manner, these requirements.
  22. The organizers will maintain control over the exhibit and will use its judgment to apply the measures stemming from its decisions in regards to the assignment of spaces, admission of visitors and the present set of Regulations.
